Send estimates and invoices branded with your business, track when they're opened, manage your notifications, and let automatic overdue reminders follow up on unpaid invoices.

#Overview
Jobkore sends professional, branded emails on your behalf — estimates, invoices, payment receipts, and notifications. Every email includes your company name and logo, giving your business a polished, consistent look.
You can customize the subject line and message for each email, or set up defaults so you can send with one click.
#Document Emails
When you send an estimate or invoice, your client receives a branded email containing:
- Your company logo and name in the header
- The document type and number (e.g., Estimate EST-0012)
- A call-to-action button — "View & Respond" for estimates, "View & Pay" for invoices with online payments enabled
- Your custom message (or your saved default)
- A footer with your company contact info
A PDF of the document is automatically attached to every email.
Estimate emails
The email shows the estimate number, title, any discount applied, the total amount, and the valid-until date. The button opens the estimate in the browser where the client can review, accept, or decline it.
Invoice emails
Invoice emails show the amount due and due date. If online payments are enabled, the email includes a Pay Online button.
Change order emails
Change orders are sent as a variation of the estimate email. The subject reads "Change Order CO-001 from [Company Name]" and the body explains it's a change to an existing estimate. See Change Orders for details.
#Notification Emails (to You)
Jobkore notifies you about important events. Toggle each one on or off in Settings > Notifications:

Tip
Enable "Client opens email" to know when a client has seen your estimate. If they opened it but haven't responded, that's a good time to follow up with a call.
#Payment Receipts
When a payment is recorded on an invoice — whether online or manually — a receipt is automatically sent to the client. It includes:
- The payment amount
- Payment method (e.g., credit card, bank transfer, manual)
- Date of payment
- Remaining balance (if any)
- A link to view the invoice
Receipts are automatic — you don't need to do anything.
#Weekly Business Report
You can opt in to a summary email that arrives every Monday. The figures in it are month-to-date, not week-to-date: payments received so far this month, estimates sent and accepted, invoices issued, and your outstanding total, followed by year-to-date revenue. Turn it on or off in Settings > Notifications.
#Overdue Reminders
Jobkore automatically sends overdue reminders to clients with past-due invoices:
- Automatic: Reminders go out once a day, mid-morning US time, for all invoices past their due date.
- 3-day cooldown: After a reminder is sent, the next one won't go out for at least 3 days.
- Content: Shows how many days overdue the invoice is, the outstanding amount, and a link to view and pay.
Tip
Overdue reminders are hands-off. You don't need to remember who owes you money — Jobkore handles the follow-up automatically.
#Delivery Tracking
Jobkore tracks every email it sends, and the document's activity timeline records what happened to it:
- Sent — the document went out, with the addresses it went to
- Opened — the client opened the email (you also get a notification if that one is on)
- Could not be delivered — a bad or undeliverable address, which also triggers an Email not delivered notification. An address that hard-bounces is blocked from future sends.
#Customization
Per-email customization
When you click Send on a document, a dialog lets you edit:
- Subject line — pre-filled but fully editable
- Message body — pre-filled with your default message, editable for each send
- Send me a copy — check this to get a copy at your own email
Default messages
Set up default messages in Settings > Document Defaults for estimates and invoices separately. When you send a document, the default is pre-filled — use it as-is, edit it, or replace it entirely.
Company branding
Every email includes your company name, logo, and contact info from Settings > Business. This branding is automatic and consistent across all email types.
#Contact Auto-Capture
When you send a document to an email that doesn't match any existing contact, Jobkore automatically creates a new contact under that client. You can add new contacts on the fly just by emailing a document to them.
Good to know
Auto-capture only creates the contact record. Go to Client Management afterward to add details like phone number or title.
